Special Counsel is actively looking for a Litigation Practice Assistant/Legal Secretary to join the Business and Securities Litigation practice in an AMLaw Houston downtown office.
The Assistant will support partners and associates with legal and administrative tasks to include document management, opening and closing of files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. The ideal candidate will have strong organization skills, be a self-starter, and have experience supporting a fast-paced litigation practice.
• Prepare, edit and format legal documents and correspondence from draft or dictated text
• Assemble exhibits and hearing binders; prepare document productions; schedule depositions
• Manage documents: upload documents to e-rooms and the DMS; scan, save to DMS and distribute matter-related hard copy correspondence, court and agency filings; maintain pleading and document indices when appropriate
• Manage attorneys’ calendars, coordinate meetings, schedule conference rooms, and make travel arrangements as required
• Assist with billing process to include entering attorney time, reviewing pro formas (initiate transfers), edit and finalize draft bills
• Submit expense reports and check requests
• Partner with litigation teams in preparation of depositions, hearings and trial;
• Review, produce and code documents provided by parties in state and federal litigation cases utilizing litigation technology software;
• Heavy interaction with clients, co-counsel, opposing counsel and court personnel during pendency of case;
• Preparation of summaries;
• Review and mark trial exhibits;
• Preparation and loading of documents into trial presentation software for use at time of trial;
• Load synced transcripts and videotaped depositions into trial presentation software and preparation of excerpts of same for use at time of trial;
• Attend trial proceedings and mock trials with responsibility for trial equipment, presentation of trial exhibits, videotaped depositions, timelines and PowerPoint presentations, as well as tracking admitted exhibits and providing litigation assistance;
• Minimum ten years supporting litigation attorneys in internal and external leadership roles at a law firm
• Must be proficient with MS Office 2013, e-filing, time entry in billing software and expense reimbursement software
• Thorough knowledge of litigation software products
• Strong communication & presentation skills
• Must be highly organized, self-starter and adapt quickly to changing environment/demands
