Special Counsel is hiring an Operations Coordinator to join our team in San Diego, California. This is a great opportunity to join an experienced team of staffing professionals to help take our business to the next level.  Responsibilities include providing quality customer service over the phone and in-person to our associates, candidates, and clients, record and file management, administering branch compliance procedures, managing office equipment and supply inventories, and special projects as delegated by the Executive Director/Managing Director.
Operations Coordinator Job Description:

  • Manages front desk, answers phone, greets candidates and clients
  • Administers and processes candidate new hire paperwork subject to Company’s compliance requirements
  • Administers skills assessments when necessary and ensures completion
  • Ensures that the branch is in compliance with W-4 and I-9 processing to include E-Verify
  • Administers associate direct deposit enrollment
  • Verifies associate degrees and certifications
  • Emails Policies & Guidelines and all necessary publications/ordinance announcements to newly hired candidates
  • Effectively enter client, candidate/associate and job order/placement requirements into the front office system
  • Emails new assignment information and benefits information to include necessary publications/ordinance announcement to associates
  • Process candidate/associate background screening through our preferred vendor First Advantage
  • Ensure weekly associate payroll processing, including pay/bill functions as applicable
  • Mail distribution and UPS shipping/receiving
  • Maintain the upkeep of office and office equipment
  • Orders and maintains office/kitchen supplies and marketing material inventories
  • Conduct market intelligence research to support the sales cycle
  • Provide lead generation support

Qualifications & Skills:

  • Minimum one year of reception, administrative/office support and/or customer service experience
  • Bachelor’s Degree preferred but not required
  • Understands the company’s business processes, applies his/her skills to maintain a high level of productivity; is accurate and thorough in delivering quality work and pays attention to all relevant details
  • Applies technical and procedural training quickly in an ever-changing environment
  • Strong verbal and written communication skills
  • Outstanding customer service skills and phone etiquette
  • Team-oriented mentality
  • Demonstrates strong computer and social media proficiencies (i.e. Microsoft Word, Excel, and Outlook, Twitter, Facebook)
