Practice Assistant Job Responsibilities:  

  • Perform complex legal secretarial activities that may be highly confidential or sensitive, requiring diplomacy and discretion
  • Create, edit, and proofread letters, legal documents, and memos, including checking documents for content and context
  • Organize and maintain all correspondence and documents using the relevant document management system
  • Heavy calendar management, including Internal/external meetings, conference calls and travel logistics
  • Manage emails and client contact lists
  • Manage physical and electronic files, including intake, retention, retrieval, and transfer of records
  • Prepare correspondence, documentation, presentation materials and analyses
  • Proofread work for both content and context
  • Maintain an organized and secured work station and filing areas
  • Run critical document checks to ensure all files have been appropriately saved
  • Import electronic documents, including scanning documents into the document management system
  • Coordinate enter, edit, and track daily time recording when required for assigned timekeepers
  • Coordinate, manage and prepare monthly client bills
  • Coordinate, verify, and obtain appropriate approvals for all domestic and International travel arrangements with the firm's travel provider and processing related business expense reimbursements

 
Qualifications:

  • Significant experience in a similar role within a medium to large law or professional services firm working for senior lawyers and partners
  • At least five years of blended, Corporate and Litigation experience
  • High proficiency in the use of Word, Outlook, Excel, and PowerPoint
  • Typing speed of 65 wpm or above
  • Previous experience with Elite, Legal Key, and Document management system or comparable software would be an advantage as would conference room booking software and travel agency programs
  • Must possess a flexible approach to the work environment and be fully reliable both during and outside normal business hours to ensure functions of position are met
