Client Services Coordinator / Receptionist

Special Counsel is looking to hire a Client Services Coordinator/Receptionist for a contract opportunity with a busy law firm. The ideal candidate will have excellent customer service skills, the ability to meet strict deadlines, and the ability to work well in a team environment.

 

Responsibilities:

  • Greet clients and visitors of the firm and offer refreshments
  • Answer all incoming call and direct as needed
  • Keep detailed log of phone messages and distribute to team members as appropriate
  • Collect, distribute, and send mail
  • Assist with calendaring and scheduling of appointments for existing and prospective clients
  • Enter client data into software as needed and confirm details with clients to ensure accuracy
  • Edit, review, and assemble documents for delivery to the client
  • Prepare estate planning portfolio and real estate closing documents folder
  • Scan, copy, and follow retention policies for documents
  • Arrange document retrieval from clients
  • Serve as witness and/or Notary for all final estate planning and real estate closings
  • Arrange office for client meetings and participate in weekly staff meetings
  • Other duties as assigned
  • Qualifications:

  • Probate and tax law experience preferred
  • Bilingual in Spanish preferred
  • Notary preferred
  • Skills:

  • Excellent verbal and written communication skills
  • Highly organized and detail oriented
  • Proficient in Microsoft Office Suite
  • Education:

  • High school diploma or GED required
  • Bachelor or Associates Degree Preferred
  • Experience: At least 2 years of experience as a Client Services Coordinator or similar role

    Employment Type:  Part-Time; Contract

    Work Hours: 9:00AM-5:00PM; Monday-Thursday
