Commercial Litigation Secretary

Are you a highly experienced commercial litigation secretary interested in a full-time, permanent job opportunity at an Tope firm in Orlando, FL? We especially want to hear from you if you have anti-trust and/or commercial litigation experience, but a solid background in complex litigation is fine. You will be responsible for handling heavy scheduling; managing and processing all vendor invoicing, client billing, check requests, and expense reports; attorney time entry; distributing mail; coordinating extensive domestic and international travel; screening calls and responding to all incoming communications; scheduling appointments and meetings; drafting, formatting, and revising correspondence and legal documents, including pleadings, briefs, discovery shells, motions, etc.; filing and e-filing in state and federal courts; serving discovery documents and other eDiscovery duties, including working with eDiscovery vendors; calendaring; trial prep; legal research; and more! You will be expected to not let anything fall through the cracks, including following up on meeting action items, heavy deadline and calendar management, sometimes scheduling complex travel last minute, and more. Qualifications:

  • 5+ years of solid litigation secretary experience, including familiarity with Florida Rules of Court, Federal Rules of Civil Procedure, and discovery/eDiscovery processes
  • 5+ years of litigation secretary or assistant experience, anti-trust and/or commercial litigation experience is a huge plus!
  • Strong computer proficiency, especially with MS Office (Word, Outlook, Excel, and PowerPoint) and DTE
  • A thorough understanding of federal and state filing/e-filing procedures, calendaring, and legal document formatting guidelines
  • Solid organizational skills with a proactive, determined attitude when it comes to your work
  • Great communication and interpersonal skills with a helpful, no-job-too-small mindset
  • Works well under pressure
