We have an exciting opportunity for an Energy Legal Secretary in the Austin, TX office.  We are searching for someone who wants to be a valued contributor and member of a talented and dynamic team of lawyers, paralegals and staff.

 

The Energy Legal Secretary is responsible for supporting the goals and activities of the Firm’s Energy & Infrastructure practice, and will assist the individual attorney(s) and/or paralegal(s) to whom assigned with specific, day-to-day duties.  The Energy Legal Secretary reports to the Human Resources Manager regarding Firm policies and procedures, practice group assistance and overflow/overtime work. 

 

The Energy Legal Secretary should possess strong secretarial and word processing skills as well as general office procedure and filing experience along with the ability to concentrate on details, organize work and work with a wide spectrum of individuals.  The Energy Legal Secretary must be able to handle diverse practices, be a team player and be a liaison between attorneys and clients.  The ability to communicate professionally is a must.  Strong proofreading and organizational skills, and attention to detail are essential. 


Responsibilities and Duties:

 

  • Drafts, edits and files client documents and related correspondence, per attorney(s) revisions. 
  • Handles time entry and billing for assigned attorney(s) and paralegal(s), including editing pro formas in Aderant.
  • Prepares Client/Matter Information Memorandum (CIM) conflicts check emails as well as CIM forms to be submitted to Records. 
  • Maintains and organizes files on a regular basis, as required by attorney(s) and practice group/Firm procedures. 
  • Prepares and electronically submits court filings, as requested by attorney(s) and paralegal(s).
  • Assists in trial preparation.
  • Maintains and updates attorney(s) calendar and contacts.
  • Coordinates travel arrangements and prepares travel reimbursement requests along with all other reimbursement requests in a timely manner and in accordance with practice group procedures and accounting deadlines. 
  • Coordinates client and in-house meetings, assisting as necessary. 
  • Retrieves and opens mail (and date stamps, if required). 
  • Answers and handles incoming phone calls in a professional manner. 
  • Knowledge, Skills, and Abilities:

     

  • High school diploma is required; Bachelor’s degree is highly preferred. 
  • 5-7 years of litigation legal secretary experience in a similarly sized, multi-office law firm is required. 
  • Strong understanding of Energy and Environmental Litigation principles and standards. 
  • PUC filing experience is highly preferred. 
  • Familiarity with state and federal courts. 
  • Excellent computer skills: MS Office Suite, Adobe Acrobat, iManage or other document management software, Aderant or other time entry software, DeltaView or other change tracking software.  InterAction experience is a plus. 
  • Excellent interpersonal, written and verbal communication skills with the ability to multi-task and prioritize workloads. 
  • Must be self-motivated, maintain confidentiality and be able to work effectively in a high-pressure environment.
