Executive Assistant

Special Counsel's client in the Greater Pittsburgh area is looking for a high level Executive Asssitant with law firm experience. This is an executive/partner level legal secretary/assistant position.  The firm is looking for a secretary/assistant who has a minimum of five years’ experience assisting higher level attorneys with scheduling and general practice management. Summary of Job Duties:

Legal secretaries/assistants must be able to effectively perform a number of routine tasks including but not limited to:

  • Types a variety of reports and legal documents for which knowledge of legal terminology, civil procedures and discovery is required.
  • Transcribe dication 
  • Open and maintain legal files, files correspondence, documents and pleadings; updates pleadings indexes, including scanned correspondence and emails.  Files must be maintained according to accepted attorney practices.
  • Provides case management assistance and tracking of matters.
  • Composes a variety of routine correspondence. Correspondence must be accurate, informative and grammatically correct.
  • Compiles data from various sources for incorporation into special and periodic reports.
  • Assists in identifying and satisfying inquiries from clients.
  • Assists others in office, including paralegals, support staff and non-assigned attorneys; serves as back up secretary to non-assigned attorneys when primary secretary unable to perform duties due to illness or absence. 
  • Formats and proofreads documents drafted by attorneys.
  • Maintains calendars and schedules for a number of attorneys.
  • Enters attorney time and client costs in timekeeping system and ensures entries are accurately recorded.
  • Makes travel arrangements.
  • Creates spreadsheets, Power Point presentations.
  • Work independently in the absence of specific instruction, and use good judgment to make decisions appropriate to the level of responsibilities.
  • Technology Skills – This person must have intermediate to advanced skills in word processing, Excel/spreadsheet preparation, Power Point or other presentation software, document management, time, calendar and docketing, transcription.

    Education - Any combination of training and experience that provides the required knowledge, skills, and abilities is qualifying; typical education would include a high school diploma, or equivalent and legal secretarial/legal assistant course work.
