    Legal Assistant Manager Job Description:

  • Provide day to day supervision for the legal assistant staff, including managing staffing levels, coverage and scheduling
  • Partner with the Portland Office Administrator to conduct semi-annual check-ins with goal-setting, determine compensation, provide coaching and handle employee relations issues
  • Provide motivation to staff; promote positive change and actively facilitate necessary training to develop the legal assistant staff
  • Monitor and ensure that the legal assistant staff work product is timely, accurate and meets the needs of their attorneys, paralegals and clients
  • Establish, document and maintain legal assistant policies and procedures; identify and implement process improvements to increase efficiency and accuracy
  • Monitor task and workflow management tools and utilize reporting to optimize team skillsets and availability
  • Welcome challenges and take a proactive approach to problem solving
  • Mentor and share valuable training information with others
  • Efficiently manage complex and challenging workflow; track overtime usage in support of budget management
  • Collaborate with and utilize resources as necessary (File room, colleagues, office management)Take initiative to understand attorneys’ client service needs; identify opportunities for legal assistants to contribute to client relationship success by raising concerns and/or opportunities to improve; offer potential solutions and participate in the agreed upon course of action to reach the desired goals


  • 5+ years’ experience as a legal assistant or paralegal, required
  • 2+ years experience acting in a lead role or supervising staff, required
  • Ability to supervise a team of 15+ staff; creating a positive working environment for a team of employees, investing in their successes and being a leader by example
  • A college degree or equivalent work experience
  • Ability to establish effective working relationships among attorneys and staff, assess their needs
  • Ability to effectively apply good judgment and provide direction to team of employees
  • Ability to understand and follow work directions, manage multiple priorities and respond to urgent requests with minimal supervision
  • Ability to take initiative and ownership of projects and follow them through to completion, regardless of who is doing the work
  • Expertise in Microsoft Word and Outlook is essential. Must also be proficient in Nuance, Excel and PowerPoint. Experience with Office 2010 and Windows 7 is preferred
  • Strong keyboarding, grammar, spelling and proofreading skills.
  • Excellent communication skills, both verbal and written, with clients, firm members, and other business contacts
  • Exceptional interpersonal and customer service skills, as well as the ability to handle stressful situations in a calm, composed manner
  • Ability to pay close attention to detail and be highly organized and accurate
  • Strong time management skills
  • Ability to work effectively in a team-oriented, service environment, required
  • Availability and willingness to work overtime as needed or requested
