Office Manager

Special Counsel is looking for an Office Manager for a direct hire opportunity with a busy law firm. The ideal candidate will have prior law firm experience, a friendly demeanor, demonstrate sound judgment and discretion, and be a team player.

Responsibilities:

  • Manage conference room bookings/set up
  • Process incoming/outgoing mail and deliveries
  • Manage onboarding of new employees and maintain records appropriately
  • Manage staff time and building security access
  • Manage phone/voicemail systems including vendor selection and contract negotiation
  • Assist with annual review processes
  • Assist with recruitment of staff and attorneys
  • Collaborate with Human Resources department on compliance matters, workers’ compensation, and unemployment claims
  • Coordinate billing and collections processes
  • Coordinate firm and client events
  • Supervise Office Clerk
  • Oversee office facility and act as a liaison with building management, security, housekeeping, and engineering.
  • Prepare and monitor annual facilities budget
  • Plan annual summer and holiday office party
  • Assist with overflow work for large projects
  • Qualifications:

  • Experience managing business operations
  • Experience in a law firm strongly preferred
  • Proven supervisory and leadership skills
  • Skills:

  • Proficiency in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Detail-oriented and superior organizational skills
  • Education: Bachelor’s Degree strongly preferred; Degree in Business, Accounting/Finance, or Human Resources a plus.

    Experience: 3-4 years experience as a Office Manager

    Employment Type: Full-time; Direct Hire

    Work Hours: 40 hours per week; Monday - Friday
