Special Counsel is recruiting a Records & Equipment Coordinator for a downtown Cincinnati law firm. Competitive salary and benefits package.
Records Management: (a) Maintain records database and coordinate record requests from off-site storage, working closely with practice area to ensure retention is in accordance with firm policy (b) Conduct conflict checks and provide appropriate follow up to attorneys/staff (c) Facilitate the scanning and transfer of records when attorney(s) join or leave the firm (d) Coordinate storage areas i.e. Central Filing
Intern/Clerk Support: (a) Train new Interns on records procedures, court filings, and use of office equipment (b) Oversee Monthly Intern Project Log
Marketing Support: (a) Works with Marketing Committee to create/edit newsletter content as needed (b) Perform website updates, LinkedIn and Facebook updates & other social media platforms as required (c) Ensure data on Meritas, Super Lawyers, Best Lawyers, etc. are provided in a timely fashion (d) Submits updated survey information to multiple venues as requested (e) Creates/updates and submits ads and logos for sponsorships as requested (f) Oversees/coordinates attorney/practice area mailings a applicable (g) Maintain marketing contact management database
Equipment Support: (a) Ensure office equipment and furniture are maintained (b) Provide light maintenance, cleaning and basic troubleshooting of copiers, multi-function devices and mail machine (c) Provide staff training for copier/multi-function devices and mail machine
Technical Support: (a) Assist with technology setups in the firm conference rooms (b) Assist IT staff with special projects and Help Desk back-up (c) Perform off-site backup tape delivery/retrieval
