Trust and Estates Paralegal

Under the supervision of a lawyer, the paralegal will draft estate planning documents and handle all aspects of estate and trust administrations.  More specifically, the paralegal’s duties will include:

  • Drafting estate administration documents such as Petitions, Motions, Orders, Letters of Administration, Inventories, Receipts and Notices.
  • Compiling asset and debt information for estates.
  • Preparing fiduciary accountings for estate and trust administrations.
  • Preparing federal estate tax returns and federal gift tax returns.
  • Communicating directly via telephone and written correspondence with clients, personal representatives, trustees, beneficiaries and other interested parties.
  • Drafting Wills, Revocable Trust Agreements, Powers of Attorney, Health Care Proxies, Advance Directives, and Beneficiary Designation forms.
  • Researching legal and factual issues and summarizing the same for internal and external review and use.
  • Assisting with the creation, organization and maintenance of forms, client materials and attorney work product in software and databases including Microsoft Word and Microsoft Excel.
  • Assisting with the drafting of letters, making telephone calls, and sending e-mail and fax communications to other professionals.
  • Assisting with ongoing administrative client matters including obtaining EINs; maintaining and monitoring a calendar of deadlines; tracking and entering billable and non-billable time into timekeeping system; and adhering to the firm’s administrative standards.


  • Demonstrated knowledge of all aspects of estate and trust administrations, including Florida estate and trust law; probate administration processes and procedures; Probate Court rules; duties and obligations of personal representatives and trustees; fiduciary accountings and principal and income accounting concepts; and estate and gift tax return preparation.
  • Demonstrated proficiency with Microsoft Word, Microsoft Excel, and estate administration, fiduciary accounting and tax preparation software. 
  • Keen attention to detail.
  • Strong spoken and written communication skills.
  • Ability to work independently and organize large amounts of data, both in hardcopy and electronic form, into an easily retrievable system.
  • Demonstrated problem-solving and critical-thinking skills.
  • Ability to work with multiple assigning attorneys and to adapt to changing work priorities, work flow and work assignments.
  • Demonstrated ability to manage short- and long-term deadlines to ensure timely completion of tasks while also managing day-to-day responsibilities.
  • Strong focus on client service.
